Your continued use of our website or services constitutes your ongoing acceptance of these terms.

By proceeding, you specifically acknowledge that:

  • You understand that therapy is a collaborative process involving active participation from both the therapist and the client, and that outcomes may vary depending on individual circumstances, commitment, and other factors beyond our control.
  • If you do not agree with any part of these Terms and Conditions, you must immediately discontinue use of our website and refrain from engaging with our services.

2. Nature of Services

  • Therapy Resources, Workshops, and Educational Materials – Access to professionally developed handouts, activities, training sessions, and workshops designed to enhance understanding and application of therapeutic techniques.

3. Client Responsibilities

In order to ensure the effectiveness of therapy and maintain a professional and ethical standard of care, clients (and, where applicable, parents or legal guardians) agree to the following responsibilities:

  1. Provide Accurate Information
    • Submit complete, truthful, and up-to-date personal, medical, and emergency contact details prior to the start of services and update this information promptly if there are any changes.
    • Disclose relevant medical, psychological, educational, or behavioral history that may affect treatment.
  2. Maintain Appointment Commitments
    • Arrive on time for all scheduled sessions. Consistent attendance is critical to achieving therapeutic goals.
    • Provide as much notice as possible if you need to cancel or reschedule an appointment, in accordance with our cancellation policy. Repeated late arrivals or missed sessions may impact treatment progress and could result in termination of services.
  3. Actively Participate in Therapy
    • Engage openly and honestly in the therapeutic process.
    • Complete any therapeutic exercises, strategies, or “homework” assigned between sessions as part of the treatment plan.
    • Follow agreed-upon strategies and recommendations to the best of your ability, understanding that active participation greatly influences outcomes.
  4. Parental / Guardian Involvement for Minors
    • For clients under the age of 18, a parent or legal guardian must remain available for periodic updates, collaboration, and decision-making related to the minor’s treatment.
    • Ensure the minor is prepared for sessions and supported in applying therapy strategies outside of session time.

Note: Failure to meet these responsibilities may affect the success of therapy and, in some cases, may lead to suspension or termination of services.

  1. Booking Appointments
    • All appointments must be scheduled in advance, either through our office, our designated booking system, or directly with your assigned therapist.
    • Appointment confirmation will be provided via email, text message, or phone call.
  2. Cancellation & Rescheduling Policy
    • We require a minimum of 24 hours’ notice to cancel or reschedule a session without penalty.
    • Cancellations should be made by phone, email, or through our booking system, during business hours, to ensure timely receipt.
  3. Late Cancellations & Missed Appointments
    • Appointments canceled with less than 24 hours’ notice, as well as “no-show” appointments, may be subject to a cancellation fee equal to the full cost of the scheduled session.
    • Fees for late cancellations or missed appointments are not covered by insurance and must be paid in full before future sessions can be scheduled.
  4. Excessive Cancellations or No-Shows
    • Repeated cancellations, late arrivals, or missed sessions without sufficient notice may disrupt treatment progress and will be reviewed by our clinical team.
    • In such cases, we reserve the right to temporarily suspend or permanently terminate services.
  5. Late Arrivals
    • Clients who arrive late for a session may receive a shortened session to avoid impacting subsequent appointments. The full session fee will still apply.

Note: We understand that emergencies and unexpected situations may occur. Exceptions to this policy will be considered on a case-by-case basis at the sole discretion of Olive Branch Behavior Therapy.

Payment & Billing

Payment for services is due at the time the service is provided unless prior arrangements have been made. We accept multiple forms of payment, including cash, credit/debit cards, checks, and secure online payments.

If you plan to use insurance, all claims must be discussed and approved before sessions begin. Clients are responsible for any portion not covered by insurance.

Rates are subject to change; however, any sessions that have already been scheduled and confirmed will be honored at the agreed-upon rate. Receipts or invoices will be provided upon request.

6. Confidentiality & Privacy (HIPAA Compliance)

At Olive Branch Behavior Therapy, we are fully committed to protecting your privacy and maintaining the confidentiality of all personal and health-related information, in accordance with the Health Insurance Portability and Accountability Act (HIPAA) and Virginia state law. All client records, including assessments, therapy notes, and personal information, are stored securely using HIPAA-compliant systems. Your information will only be shared with third parties when you provide written consent, except in situations required by law.

While we prioritize your privacy, there are specific circumstances where we are legally or ethically obligated to disclose information:

  1. Risk of Harm: If there is a credible threat that you may harm yourself or others, we are required to take appropriate action to prevent harm.
  2. Child Abuse or Neglect: Any suspected abuse, neglect, or exploitation of a child must be reported to the appropriate authorities.

Client Requirements:

  • Private & Quiet Space: Clients must participate in sessions from a location that ensures privacy and minimizes distractions to maintain confidentiality and session effectiveness.
  • Reliable Internet Connection: A stable internet connection is essential to ensure smooth communication and uninterrupted sessions.

Limitations of Telehealth:
While telehealth provides convenience and accessibility, it may have certain limitations compared to in-person sessions, including:

  • Difficulty in observing non-verbal cues.
  • Technical disruptions due to internet or device issues.
  • Some therapeutic techniques or assessments may not be fully effective virtually.

Face-to-Face Requirement:
In certain cases, in-person sessions may be recommended or required to provide the most effective care. The therapist will discuss these situations with the client and/or guardian to determine the best approach for treatment.

Repeated missed sessions or cancellations without proper notice can disrupt treatment progress. Clients who fail to provide the required notice or consistently miss appointments may have their services suspended or terminated.

3. Threatening or Inappropriate Behavior:
Any behavior that threatens the safety of the therapist, staff, or other clients, or behavior that is disruptive, abusive, or inappropriate, may result in immediate termination of services.

  • Termination of services may include referrals to alternative providers if appropriate.
  • Clients will be informed of the reasons for termination and, when possible, provided with guidance to continue care elsewhere.
  • Termination does not absolve clients from responsibility for payment of any services rendered prior to the termination date.

By agreeing to these Terms, clients consent to the personal jurisdiction of these courts and waive any objections to venue or inconvenient forum.
